Position Description:
Provides administrative support to the Chief Executive Officer and C-suite/Leadership team.
Manages heavy calendaring and coordinating of internal leadership events and meetings.
Some project management of related events or needs for the group.
Vendor and contract relationship administration and review.
Develops and implements procedures and policies for all administrative activities to ensure efficient operations, service delivery and expense control.
Coordinates resources to troubleshoot, determine the best solutions, and solve problems.
Makes day-to-day decisions within or for a group/small department after establishing thorough knowledge of functional area and department processes.
Work is generally independent and/or collaborative in nature.
Contributes to moderately complex aspects of projects.
Typically requires 4-7 years of related experience.
May oversee administrative support staff.
Duties And
Responsibilities:
Answers and screens telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy; arranges conference calls.
Maintains a positive host-centric demeanor with all individuals, both internal and external.
Exercises considerable judgment and discretion in handling requests for appointments and telephone calls.
Reviews and responds to daily internal/external mail and overnight packages; sends and receives faxes.
Prepares daily mail for Leadership.
Composes, types, and distributes professional correspondence and memoranda, emails and faxes, using individual initiative and as assigned.
Proactively establishes, and maintains highly organized filing system; files correspondence and other records.
Predicts the needs of leadership team and responds with promptness and proactive communication.
Board of Directors correspondence and BOD CRM management, preparing documents and meeting minutes.
Executive and vendor/visitor meal and travel coordination.
Maintains contracts and documents with appropriate outside vendors, city, and state licenses and certifications.
Coordinates C suite calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness.
Supports the completion of expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained.
Conducts research; compiles and creates reports.
Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes.
Attends meetings and other functions as needed.
Prepares work agreements and proposals and maintains appropriate records and files.
Assists with special projects as assigned.
Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing.
Performs other related duties as assigned by management.
Requirements:
Qualifications:
Bachelor's degree (B.
A.
) or equivalent, 4 to 6 years related experience, or equivalent combination of education and experience.
Excellent verbal and written communication skills.

Intermediate-Advanced on Microsoft Suite products (including Project), Canva proficiency a plus Bilingual skills a plus.
